1:1 Meeting Best Practices

Spark ideas 🧠

Leverage templates 📄

Build context 🔍

  • Look up a user's latest work through a universal search
  • Reflect on recent chat and email exchanges
  • Prepare an agenda in advance

Keep it speedy 🏃

  • Use Google's Speedy Meetings preference to default to 25m or 50m meeting lengths
  • Book as little time as needed (15m is ok) for an efficient conversation
  • Not every meeting needs warmup; feel free to dive right in to the intended conversation

Be agreeable 🤗

  • Calibrate to each others' preferences for meeting times, formats, and preparation
  • Document preferences for communicating, perhaps through a Human User Guide like Matthew's

Remain flexible 🧭

  • Make 1:1 calendar invites editable by all parties
  • Demonstrate that 1:1s are more important than other meetings through minimal reschduling
  • Always prefer reschduling 1:1s over canceling

  • Highlight since we last spoke.
  • Lowlight since last time.
  • Something that would greatly improve team collaboration
  • Idea that would improve the product.
  • Thing we should have done but didn’t. What prevented us?
  • Something I can help get out of your way.
  • What do you want to learn?
  • How are you feeling about your role?
  • What's something I should have noticed but possibly didn't?
  • Who do you want to learn from?
  • Do you feel challenged by your work?
  • What do you wish you could delegate or offload?
  • What's your succession plan look like?
  • Who's a wonderful person to work with? Who's difficult to work with?
